By using two new self-service tools, Amazon Business account administrators can apply their Punchout configurations to up to 400 legal entities – companies under common ownership, like subsidiaries or affiliated entities – and more than 2,000 groups, scaling their preferred smart business buying journeys and reducing manual mapping task time through automated bulk processing capabilities.
Smart Map enables bulk configuration extension across multiple legal entities and business groups through an intuitive self-service interface. This tool streamlines Punchout configuration by mapping unique identifiers from your procurement system (sent in cXML purchase orders) to specific Amazon Business groups and legal entities, ensuring orders route correctly based on organizational structure. There are dual configuration methods: a user-friendly UI for accounts with 50 or fewer groups that delivers quick changes with real-time validation of identifier relationships, and CSV upload for larger deployments requiring bulk processing.
This empowers enterprise customers to independently connect their procurement system identifiers to Amazon Business organizational hierarchies through an accessible interface in Business Settings, reducing configuration time and manual mapping tasks.
Smart Copy complements Smart Map by enabling bulk management of default settings across newly configured entities through three key functions: 1) System Status transitions entities from test to active status simultaneously across multiple entities, enabling production order placement through the production URL instead of test orders. 2) Safeguard Settings extends spending controls to multiple groups and legal entities in a single action, including price increase thresholds (item price, subtotal, and order total), shipping fee limits, delivery time maximums, seller substitution preferences, and low stock handling rules. 3) Ship Notice and Order Confirmation enables cXML order confirmations and advance ship notices across groups and multiple entities, automating communication setup for shipment tracking and order status updates.
Logged into their organization’s Amazon Business account, Amazon Business account administrators can access Smart Map and Smart Copy in the Amazon Business store by going to Business Settings > System Integrations > Purchasing System > Manage System. Before using these tools, customers must complete their initial Punchout integration configuration with their existing third-party system, establish multiple legal entity and/or group structure, and configure payment methods for each target group to enable order placement. For customers with existing multiple legal entity configurations, use of Smart Map and Smart Copy is not required; their existing configurations will continue to function.
