Welcome to your Amazon Business account: FAQs

  • First, check your header bar. The Amazon Business header bar will be a deep blue with a Business or Business Prime logo in the top left. Your personal Amazon account will have a black bar with Amazon or Prime in the top left. You can also check the top right where your name is - if you are in your personal account, you’ll see "Hello, Name Account and Lists"; if you are in your Amazon Business account, you’ll see “Account for” your organization under your name.

  • To convert your personal Amazon account to an Amazon Business account, simply hover over your name in the top right, then select “Register for a Business account” or click here.

Onboarding users: FAQs

  • You can easily add user invitations to allow others to join your account with their own user names and passwords, keeping everyone’s purchases secure while their selection and spend are visible to the account administrator(s). Click here to start adding users to your account

  • Account Authority allows business customers to establish their ownership of a business account and then set up administrative policies to gain increased control and visibility, reduce rogue spend, and enforce best practices over their procurement process on Amazon Business. Through simple steps, Account Authority provides an easy way to claim a company’s business domain on a business account and enable policies such as gating new business account creation, consolidating business accounts, simplifying user onboarding, marketplace controls, and user de-registration.   • Amazon Business allows you to set up one central account with multiple buyers and purchasers, providing you control and visibility over team spend. You can easily add purchasers from your company through your settings. Add buyers by entering their email address, or upload the available spreadsheet template to add multiple buyers at once.   • If your team members are only shopping for business, they should be added to your organization’s account using their work email address. This way, they can keep their personal shopping and shopping for work separate. Learn how to onboard users to your account by clicking here

  • No, there is no limit to how many users you can add to your account. Note that Business Prime pricing will vary at renewal based on the number of users on your account.

  • When you add a new user to your account, you can select a role type for them.

    • A Buyer (requisitioner) can place orders or request order approvals.
    • manage people and approvals. Perform Finance and Tech roles.
    • can Set up system integrations.
    • can access order history, invoices, and credit notes.

     

    You can change people and roles at any time.

    • Easily set pre-approved budgets using the Budget Management tool. Allocate funds to your buyers and empower them to make timely and transparent purchasing decisions.
    • Provide clear rationale for buying policies and approval workflows so that purchasers understand the intent.
    • Drive compliance with internal purchasing policies by easily defining policies that identify preferred, restricted, and blocked product categories or sellers (Guided Buying is available with select Business Prime plans) and set spend limits. Identify appropriate approvers for buying policies, and assign multiple approvers if needed, each with the ability to grant permission for a fast turnaround on eligible buyer orders.

  • Guided Buying helps buyers easily see what they are allowed to buy within your price tolerance. Search for and discover suppliers through the list of diversity credentials, as well as by entering a known supplier’s name directly, then save them as a preferred supplier. Restricted policies designate UNSPSC based product categories as company non-compliant. Create custom text, alerting users that the item may not comply with your company’s purchasing policies. Approval workflows can also be configured based off of these policies.

  • With recurring deliveries, you can have essential items for your organization delivered automatically, based on a schedule you choose.

    • Cancel anytime - no commitments, obligations, or fees and shipping is always free.
    • You can manage recurring deliveries at any time by hovering over your account name in the top header and scrolling to “Account Details” where “Manage Recurring Deliveries” is located.
    • Browse the recurring deliveries page to get started.
    • Please note, recurring deliveries are not available with Punchout.

Payments: FAQs

  • Pay by Invoice is available with select Business Prime accounts. Only Administrators or account members in a Finance role can view invoices and account balances. If you are an Administrator or in a Finance role for a group, you will only have access to information for your group. Should you need additional account members, such as your Accounts Payable contact, to access invoices within the account, assign them to an Administrator or Finance role. 

    Invoices are available to view and download from 3 different places within Amazon Business:

    • Your Invoices: It displays invoices and credit memos, invoice status, a total of what you owe, and any unapplied funds. From this page, Requisitioners, Finance users, and Business Account Administrators can download invoices and credit memos in bulk as a ZIP file. Choose the documents to download by selecting the corresponding box for each document, and then select Download documents and data from More actions. Download up to 2,000 documents at a time.
    • Your Orders: It groups the invoices by order. The Requisitioners, Finance users, and Business Account Administrators can view the orders.
    • Business Analytics: It generates reports for your internal reconciliation process. This feature is available for Group Administrators, Finance users, and Business Account Administrators. Choose the invoices you want to download by selecting the corresponding box next to Payment Reference ID. Download up to 45 invoices at a time through Business Analytics.

  • If you’re paying with an eligible credit card, Amazon Business provides enhanced transaction data with additional line item detail on purchases, resulting in increased speed, visibility, and accuracy of expense reconciliation. This helps ensure more efficient reporting, and increases control over your spending behavior. 

  • There are multiple ways for you to obtain actionable insights that drive purchasing decisions.

    • Amazon Business Analytics offers in-depth reporting so you can monitor your organization’s purchasing behavior on top spend categories, preferred items, and from diverse sellers.
    • Spend Visibility, a Business Prime exclusive benefit, lets you analyze your spending with data visualizations to inform smart budgeting decisions, easily locate compliance issues, and find opportunities to save in the future.
  • With 30-day payment terms* and on-demand itemized digital invoices, Pay by Invoice gives your business more flexibility and control. 30 days not enough? Extend payment even longer with an eligible Business Prime membership plan. Your account is assessed for a Pay by Invoice credit line upon approval for an Amazon Business account. If you're the admin and are approved for Pay by Invoice, you'll receive an email to activate the credit line, which remains open for a limited time.   • The best way to determine this is by viewing the different tiers of Business Prime plans. See how many users are included in each plan, and what features are available to help elevate your organization. 

  • Amazon Prime is a membership program available on Amazon. It offers household and entertainment benefits such as Prime Video, Prime Music, Amazon Fresh, Prime Now, and Prime Reading for use at home. Business Prime is separate membership program designed for businesses available only on Amazon Business. It offers business-specific features and benefits suited for work such as a single membership for all users on a business account, fast free business shipping on eligible items, ability to guide your users to certain selection, visibility into your company’s spend, and much more. Amazon Business no longer supports new Amazon Prime membership sign ups. Business Prime was designed for Amazon Business customers. For more info on Business Prime, click here
